Operations & Logistics Specialist
To support our continued growth, we are looking for an Operations & Logistics Specialist. In this versatile role, you will be responsible for the flawless execution of our daily operations. You will ensure that orders, returns, logistical processes, and data streams run smoothly, serving as a vital link between our suppliers, fulfillment partner, and the internal team.
You maintain a clear overview, resolve operational challenges before they become problems, and continuously look for ways to make processes smarter, more efficient, and more scalable.
Your job
Order Management B2C
- Coordinate the daily processing of B2C orders.
- Monitor the quality of order flows and quickly resolve discrepancies or errors.
- Align operational issues with customer service and our fulfillment partner.
- Ensure customers receive their orders accurately and on time.
Order Management B2B
- Process and manage B2B orders in our systems.
- Check, confirm, and correct orders in the B2B portal.
- Manage backorders and monitor timely delivery.
- Coordinate transport where necessary and ensure a smooth handover to our fulfillment partner.
- Handle invoicing for shipped orders.
Returns & Customer Service
- Take responsibility for an efficient returns process.
- Coordinate return flows between our systems, customer service, and fulfillment partner.
- Monitor fast and correct processing of returns and refunds.
- Act as the first point of contact for operational customer queries escalated from customer service.
- Analyze recurring customer queries and propose improvements for processes and customer information.
Data & Systems Management
- Ensure product and logistical data is up-to-date and accurate.
- Monitor the quality of data streams between various systems.
- Identify bottlenecks in system integrations and initiate improvement projects.
- Support the optimization of operational processes and workflows.
Logistics & Shipping
- Coordinate collaboration with our logistics partners.
- Monitor the quality and efficiency of our outbound shipping.
- Research and implement the most cost-effective shipping solutions.
- Ensure all logistical processes run smoothly towards our customers.
Compliance & Certification
- Provide administrative support for our GOTS certification.
- Maintain the required documentation and document trails per purchase order.
- Support the preparation and execution of audits and certification processes.
Process Optimization
- Identify bottlenecks in existing processes and translate them into concrete improvements.
- Implement new working methods and ensure clear process descriptions.
- Actively contribute to further professionalizing and scaling our operations.
Who are you?
You are organized, accurate, and love getting things done. You get energy from bringing structure, improving processes, and liaising between different stakeholders.
Additionally, you recognize yourself in the following:
- You have 3–5 years of experience in operations, logistics, supply chain, customer service, or order management.
- You work in a structured manner and have an eye for detail.
- You are strong at coordinating multiple processes simultaneously.
- You are solution-oriented and take initiative.
- You are analytical and quickly see where processes can be improved.
- You have strong communication skills and switch easily between internal and external parties.
- You feel at home in a dynamic scale-up environment.
- You speak and write fluently in Dutch and English.
